Costs module

Proceedings costs per case at a glance

The costs module roughly calculates, per case, what proceedings cost and will cost. It applies your firm's fee rules, converts currencies at daily rates and counts AI proposals only after a lawyer has confirmed them.

As of 16 October 2026

What the costs module does

Every case has a Costs tab. It is a rough calculation of the whole proceedings, not a substitute for bookkeeping.

  • Court costs, party compensation, lawyers' fees, expert opinions and expenses in one table
  • Our own side and the other parties; direct costs (court, compensation) and indirect costs (fees, expert opinions)
  • Internal and external costs; internal positions stay within the team
  • Estimates and actual costs kept apart; the total shows both
  • A position can be split over several categories or bearers; the parts must add up to the amount

Fee rules of the firm

The firm stores standard rules that a customer or a case can override (case before customer before firm). The platform applies them when a position is recorded. Four examples:

  1. 01

Hourly rate with a minute increment

Every started unit is rounded up. With a 6-minute increment and CHF 300 per hour, a 2-minute call counts as 0.1 hours, so CHF 30.00.

  2. 02

    Flat fee

Routine work has a fixed amount, independent of the time spent, for example CHF 500.00.

  3. 03

    Crediting

An initial consultation at a flat fee of CHF 250.00 is credited in full against the following mandate: it appears there as a credit of CHF 250.00.

  4. 04

    Value-based tariff

The tariff and the amount in dispute are stored with the rule; you enter the fee. Automatic calculation per cantonal tariff or RVG is not included.

Currencies and exchange rates

Every position keeps its original amount and currency. Totals are shown in one main currency.

  • The main currency is set per firm, customer and case; the case takes precedence over the customer, the customer over the firm
  • CHF, EUR and USD are available; further currencies on request
  • The source is the daily rates of the Swiss Federal Office for Customs and Border Security (BAZG), with the ECB reference rates as fallback when the BAZG delivers no rate for a day. These are customs rates, not bank rates
  • Actual costs keep the rate of their cost date; estimates use today's rate. Rate and rate day are shown on every position; where a rate is missing, the position says so and is left out of the total

AI proposals from decisions and invoices

AI proposalThe AI reads court costs and party compensation from the decisions of a case, and amounts from uploaded invoices.

  • Every proposal names the source document and page and carries the AI badge
  • A proposal does not count until a lawyer confirms, corrects or rejects it
  • A proposal can never be released to clients before it is confirmed
  • The AI is not a lawyer: it can misread amounts, so a person checks every position

How documents reach AI providers in this process is described in the privacy notice.

Customer register with its own currency

A customer can have several cases and has its own main currency. The customer register belongs to the case register: whoever may open cases maintains it.

What clients see

Clients see only positions a lawyer has released to them, much like a fee note: amount, method, minutes and rate of the released position. They never see internal costs, AI proposals or team notes, nor the fee agreements themselves. The database enforces this, not just the interface.

Roles and rights

Default rights of the costs module. The table shows who may do what.

Viewers read all positions of the cases they are a member of, including internal positions and team notes, but change nothing. Guests see no costs.

A firm can tighten these defaults, for example so that lawyers see only the costs of their own cases. The customer register belongs to the case register and follows its rights.

Limits

The costs module is a rough calculation. It replaces neither fee billing nor bookkeeping.

  • No invoicing and no time sheets
  • No automatic tariff calculation per cantonal tariff or RVG
  • No bank rates: the customs rates of the BAZG apply, the ECB as fallback
  • The AI proposes, a person confirms
